Transparency International Personal Assistant


Transparency International (TI) is the civil society organisation leading the global fight against corruption. TI currently has more than 90 National Chapters around the world. Its International Secretariat is based in Berlin, Germany.


TI does not investigate or expose individual cases of corruption but advocates for reform by focusing on systemic improvement and by building coalitions with other anti-corruption stakeholders, including governments, the private sector and civil society organisations.The position of personal assistant provides an excellent opportunity to work in a multi-national team at TI-Secretariat, which coordinates the anti-corruption work of the TI movement worldwide.Job DescriptionMain function: Provide personal assistance at the level of Senior Management

Reporting lines: Reports to Finance and HR Director
Contract: 18 months
Starting date: asap
Location: Berlin, GermanyKey responsibilities:

  • Coordinate and arrange executive activities, meetings and appointments;
  • Receive, screen and distribute mail, e-mail, phone calls;
  • Draft responses to letters and other general correspondence;
  • Coordinate invitations to and participation in conferences;
  • Prepare background documents as necessary (in cooperation with regional or programme departments);
  • Make travel arrangements, maintain travel and meeting schedules / calendars; make travel cost reimbursements;
  • Perform a variety of secretarial and administrative duties.
  • Prepare and monitor financial reports on private sector programmes

Knowledge, experience and skills:

  • Flexible and adaptable, able to handle multiple tasks across a wide range of issues and work under pressure
  • Knowledge of principles and practices of organisation, planning, records management, research and general administration
  • Excellent oral and written English and German. Knowledge of other languages would be an advantage
  • Advanced Excel knowledge and experience on financial reporting
  • Experience of secretarial work in Germany and event organising an advantage
  • Ability to communicate effectively both verbally and in writing with colleagues and public
  • Good analytical and problem-solving skills
  • Good knowledge of computers, internet and email, particularly experience with Word, Excel and Power Point
  • Ability to operate standard office equipment including but not limited to computers, copiers, calculators and facsimile machines
